Datsols (“Datsols,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit datsols.com and related pages (the “Site”), communicate with us about our professional services (the “Services”), or apply for roles with us.
By using the Site or submitting information to us, you acknowledge the practices described here. If you do not agree, please discontinue use of the Site and do not submit personal data to us. This policy is designed to be read together with our Cookie Policy.
Security, hosting, and vendors. For a procurement-friendly summary of our security posture, hosting, subprocessors, and how to reach security intake, see Trust & security.
Who we are
The data controller for personal information described in this policy is Datsols, operating primarily from the United States. We deliver Services to organizations in the United States, Mexico, and Puerto Rico. For privacy inquiries, contact [email protected].
Scope
This policy applies to:
- Visitors and users of the Site;
- Prospects and clients who contact us or contract for Services;
- Job applicants who submit materials through our careers flow or by email (subject to any separate notice we provide at collection).
If you are an employee or contractor of one of our clients, your employer—not Datsols—is typically responsible for workplace privacy notices. We process client personnel data only as instructed in our agreements with that client.
Personal information we collect
Depending on how you interact with us, we may collect:
| Category | Examples |
|---|---|
| Identifiers & contact | Name, email, phone, company, job title, postal address (if provided) |
| Professional context | Organization size, industry, systems mentioned in messages, procurement details |
| Communications | Content of forms, email threads, call notes (if captured in our systems) |
| Application data | Resume/CV, cover letter, portfolio links, referral source |
| Technical & usage | IP address, device/browser type, approximate location from IP, pages viewed, referring URLs, timestamps |
We do not intentionally collect sensitive categories (such as health data) through the Site. Please do not submit sensitive information unless a signed engagement explicitly requires it.
Sources
- You, when you fill out forms, email us, or upload application materials;
- Automatically, through server logs, cookies, and similar technologies described in our Cookie Policy;
- Third parties, such as your employer when they introduce an engagement, or professional references you authorize.
How we use personal information
We use personal information to:
- Respond to inquiries, schedule meetings, and deliver proposals or Statements of Work;
- Operate, secure, monitor, and improve the Site;
- Evaluate job applications and communicate with candidates (including scheduling and feedback where appropriate);
- Comply with law, enforce our terms, and protect the rights, safety, and property of Datsols and others;
- Analyze aggregated or de-identified usage to understand how the Site performs (where permitted).
Legal bases (EEA, UK, and similar jurisdictions)
Where applicable law requires a legal basis, we rely on: contract (to perform Services you request); legitimate interests (to operate and secure our business and Site, and to communicate with prospects in a proportionate way); and consent where we expressly ask for it (for example, certain cookies or marketing communications, if offered). You may withdraw consent where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
Disclosure of personal information
We do not sell personal information as that term is commonly defined in U.S. state privacy laws, and we do not sell it for monetary consideration.
We may disclose personal information to:
- Service providers who assist us under contract (e.g., hosting, email delivery, analytics, applicant tracking, scheduling, document signing), only to perform services on our behalf;
- Professional advisors (lawyers, accountants, insurers) where confidential and necessary;
- Authorities when required by law, legal process, or to protect vital interests.
If we use subprocessors to host or process client data under a Services agreement, those relationships are governed by the contract with the client, not this Site policy.
Retention
We retain personal information only as long as necessary for the purposes above, unless a longer period is required by law or a legitimate business need. Illustrative guidelines:
- Marketing and prospect records: typically up to twenty-four (24) months after the last meaningful interaction, unless you ask us to delete sooner and we have no overriding obligation to retain;
- Client engagement records: for the life of the engagement plus a reasonable period for disputes, tax, and audit (often several years, depending on jurisdiction);
- Application materials: typically up to twenty-four (24) months unless local law or a separate notice specifies otherwise, unless you request earlier deletion and we have no legal basis to retain.
Server logs may be retained for shorter rolling periods for security and troubleshooting.
Security
We implement reasonable administrative, technical, and organizational safeguards appropriate to the nature of the data and our processing. No method of transmission or storage is completely secure; we encourage you to use encrypted channels when sending confidential information and to avoid sharing credentials in email.
Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to restrict or object to certain processing. You may also have the right to lodge a complaint with a supervisory authority.
United States — California and other states
Residents of states with comprehensive privacy laws (including California) may have additional rights, such as requesting access to categories and specific pieces of personal information we hold, requesting deletion, and opting out of certain types of sharing. We do not “sell” personal information or share it for cross-context behavioral advertising as defined in the California Consumer Privacy Act (CCPA/CPRA) as of the Last updated date above. If our practices change, we will update this policy.
To exercise rights, email [email protected] with “Privacy Request” in the subject line. We may need to verify your identity before responding and will explain any limitations (for example, information we must retain for legal compliance).
International transfers
We are based in the United States. If you access the Site or send us information from another country, your data may be processed in the U.S. or other countries with different data protection laws. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for transfers from the EEA, UK, or Switzerland.
Automated decision-making
We do not use personal information for automated decisions that produce legal or similarly significant effects solely by automated means.
Children
The Site is not directed to children under sixteen (16), and we do not knowingly collect personal information from children. If you believe we have collected a child’s information, contact us and we will take appropriate steps to delete it.
Changes to this policy
We may update this Privacy Policy to reflect changes in law, our practices, or the Site. The “Last updated” date at the top indicates the latest revision. For material changes, we may provide additional notice (for example, a banner on the Site). Continued use after the effective date constitutes acceptance of the revised policy, to the extent permitted by law.
